    Reports to: Client Services Supervisor

    Classification: O2

    About the Position:

    This position is responsible for administrative functions involving reports and documentation, as well as answering/directing phone calls, welcoming clients and maintaining office supply stock levels.

     

     

    Responsibilities

    Specific Responsibilities:

    • Answering phones, directing calls and taking messages;
    • Processing and filing a variety of paperwork;
    • Maintains inventory and orders office supplies;
    • Maintains cash accounts (cash clients and petty cash)
    • Responsible for ensuring that the copy machines and cabinets are stocked at all times;
    • Greet all internal and external customers courteously, determine their needs, and direct them to the proper person;
    • Notifies the appropriate employee when mail or packages arrive so they can be picked up and/or delivered in a timely manner;
    • Assist with data entry and updating various reports;
    • Maintains close liaison with supervisors and other lab staff to ensure the smooth delivery of our services to clients;
    • Works with purchasing and receiving departments to ensure invoices and packing slips are sent to accounting in a timely and organized manner
    • Identifies internal and external problems when they arise and reports them to the manager;
    • Maintain a positive work environment through active team participation and a focus on quality customer service;
    • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
    • Other duties as assigned.

    Qualifications

    Required Knowledge, Skills and Abilities:

    • Pleasant and professional telephone manner;
    • Organized, highly motivated and customer focused individual;
    • Detail oriented individual with a strong commitment to quality and safety;
    • Ability to work independently and/or as part of a team;
    • Ability to effectively handle a high volume of work and time critical issues;
    • Interpersonal skills along with the ability to exercise diplomacy and tact;
    • Intermediate English communication skills both written and verbal;
    • Intermediate computer skills including MS Word, Excel and Outlook.

    Physical Demands:

    • Office administration experience preferred;
    • Completion of an office administration certificate or diploma preferred;
